Sustainable event planning is part of our DNA. At VKOZ events & communication, we make conscious choices at every level — from concept development to production. In doing so, we consider not only environmental impact, but also the people involved. As a Rotterdam-based agency, we draw inspiration from the city’s circular initiatives, which continuously challenge us to think ahead and innovate. For us, sustainability is not a separate consideration, but a common thread in how we design, organize, and evaluate events.
From vision to execution: how we do it
Sustainable from the start: the design phase
Sustainability starts with the very first idea. In the concept phase, we make decisions that shape the overall impact — such as using hybrid formats or minimizing physical materials. We look beyond the event itself and consider long-term effects and overall objectives.
Venue selection and mobility
The venue plays a key role in the overall footprint of an event. That’s why we prioritize locations that are easily accessible by public transport and actively committed to sustainability. We also encourage attendees to make conscious travel choices by making sustainable options more attractive.
Catering: local, conscious, and waste-free
We collaborate with partners who source locally and focus on seasonal and largely plant-based products. Food waste is actively reduced through smart planning and reuse of surplus. Water refill stations and eliminating single-use plastics are standard practice for us.
Zero waste and circular thinking
We minimize waste by critically assessing everything we use. For example:
- digital communication instead of print
- reusable materials for signage and decor
- conscious choices in stand construction and technical production
Where possible, we opt for reuse or temporary solutions instead of new production. This way, waste reduction becomes an integral part of how we design events.
Sustainability in practice: choices and dilemmas
A strong example is the annual Forum of the Council of International Schools. For 900 participants, we chose to replace traditional giveaways with an investment in CO₂ compensation. By actively involving participants in this decision, sustainability became part of the experience rather than a limitation. At the same time, sustainable event planning requires making choices. We still encounter requests that don’t align with a sustainable approach, such as physical gifts or printed materials. Our role is to advise and offer alternatives — but also to be honest. Sometimes this means deliberately moving away from traditional choices, because we believe there is a better way.
Social sustainability: inclusivity and accessibility
For us, sustainability goes beyond environmental impact. We design events that are accessible and inclusive for a wide range of participants. This includes wheelchair-accessible venues, quiet or prayer spaces, and low-stimulation areas. We also consider different types of participants — from extroverts to introverts — ensuring everyone feels comfortable and can fully engage.
Long-term impact: beyond the event
For us, an event doesn’t end when the last guest leaves. We actively consider its legacy: what remains? This can include knowledge sharing, behavioral change, or a tangible contribution to the city and its communities. An inspiring example is the Rotterdam Collaboration for Change program by Rotterdam Partners. This initiative helps event organizers connect their events to local societal themes such as sustainability, education, and inclusivity. By collaborating with local partners, events create lasting value for the city.
Measuring impact: making sustainability tangible
Sustainable event planning requires transparency. That’s why we work with our clients to make sustainability part of the event objectives. Where possible, we make impact measurable — for example in terms of materials, mobility, or catering. This ensures sustainability is not just an ambition, but a tangible result.
